Program Manager, Alumni Events & Groups

CAA is looking for an outstanding Program Manager who has exceptional organizational skills and a positive can do attitude. Our top candidate must have event planning and volunteer management experience, and be able to communicate and build relationships affectively with a variety of partners and with alumni of all ages. As a member of the Alumni Events Team, the Program Manager will plan and execute organization-wide events, such as Homecoming and Charter Gala, as well as smaller events for targeted audiences. The Program Manager will also serve as the staff liaison for a portfolio of alumni clubs/groups. The position will report to the Director, Alumni Events & Groups.
REQUIRED QUALIFICATIONS: Bachelors degree Comprehensive event planning experience Excellent oral/written communication, interpersonal and organizational skills Excellent computer skills (PC and Microsoft preferred) including online tools, databases, spreadsheets, and word processing applications Excellent attention to detail and organizational skills Ability to market to and interact with a variety of people of all ages including alumni, staff, students, volunteers, guest speakers, donors and VIPs Ability to work independently, and with teams, with minimum supervision Flexibility and adaptability in work schedule to permit evening and weekend commitments Enthusiastic and positive can do attitude
PREFERRED QUALIFICATIONS: Experience in event planning in a non-profit and/or academic environment Experience in planning formal affairs with 400+ attendees Familiarity with Homecoming and Student Homecoming events Experience working with and advising student groups, particularly at the college-level Experience developing and managing a budget Working knowledge of UC Berkeley and the California Alumni Association Comfortable working with complex databases (e.g., looking up information, extracting data and developing reports) Knowledge and experience with event planning management software. Familiarity with website design concepts and/or HTML editor software UC Berkeley Alumnus
RESPONSIBILITIES: Event Planning (70%) Homecoming (1868 Cal Avenue and Student Homecoming) Serve as the lead staff for the overall event planning for 1868 Cal Avenue (an alumni and student group campus fair with thousands of attendees). Manage CAAs overall involvement in Homecoming. Coordinate with the central Homecoming Team at University Relations and build relationships with campus partners. Manage the Project Coordinator specifically on his/her role as the student advisor for Student Homecoming. Have ultimate responsibility for success of Student Homecoming. Evaluate the impact of CAAs Homecoming and Student Homecoming events and programs.
Charter Gala & Alumni Awards Serve as the second-in-command for overall event planning for Charter Gala (an annual formal event with 800-1,000 attendees, celebrating the founding of the University and honoring distinguished alumni) Serve as the lead staff for registration. Manage tabling, ticketing and networking details for the black tie affair with 1000+ attendees. Manage online RSVP database and process and table assignment process. Coordinate and market the Alumni Awards Program in collaboration with the Awards Selection Committee.
Other Events Lead the planning and logistical efforts of other CAA events, as needed. Support other members of the events team on other CAA events, as needed. Provide staff support for other CAA events, as needed.
Alumni Groups Staff Liaison (25%) Be a member of the Alumni Groups Program staff team and serve as the staff liaison for a portfolio of alumni groups. The Alumni Groups Program includes 80+ alumni groups, led by alumni volunteers and organized nationwide. Manage volunteer leaders and provide them with support to ensure the success of their alumni groups. Be a communications hub for the alumni groups by disseminating information to and collecting input from group leaders. Evaluate the success of alumni groups and participate in strategic discussion on how to improve the overall Alumni Groups Program. Think creatively about how alumni groups can better serve their constituency. Attend alumni group events.
Other Duties (5%) Supervise a student intern. Develop and monitor program budget. Assume other duties assigned by supervisor.
